Product Authenticity Request for Amazon Sellers: What do You Need to Prepare?

Recently you may have seen a big wave of documentation requests for product authenticity. We’re going to tell you what documents you need to prepare if you receive such a request.

1) Documents proving the identity of the contact person: passport, ID, or residence permit. It is important to make sure that the document has the correct name of the contact person, date of birth, identification number, expiration date, and signature/seal of the authorized state body.

2) Documents confirming the authenticity of the charge or deposit method. This includes a credit card statement or bank account statement that is in the seller’s account. Make sure the statement contains the correct info that matches the data in the seller account; is dated at least 180 days prior to the request; and contains bank details. Amazon also has an unspoken rule: any statement must have the bank’s signature and seal. If there are not many transactions showing in the statement, we recommend ordering a statement of 2-3 months instead of one.

3) Invoices. Often, Amazon asks for invoices that cover all sales of the ASIN for the last 365 days. Each item on each invoice must be more than 10 units. The invoice must contain identical details about you as a seller as in a credit card or bank account statement.

4) Vendor Information. In general, you can take this information from the invoices. Just copy it into a separate file and include, at a minimum: 1) the supplier’s official name; 2) address; 3) email; 4) contact phone number; 5) website (if available).

5) Business Registration Documents. To successfully pass this, you will need to provide Articles of Organization/Incorporation (formation document) and EIN (tax number). If your account is not registered to a legal entity, feel free to skip this stage.

6) Documents certifying the authenticity of the product. These include either authorization letters or license agreements issued by the IP rights holder. Keep in mind that such documentation often has a limited validity period. Therefore, before filing, make sure your authorization letter is not expired.

7) Documents proving official delivery of the product. These include the Proof of Delivery and Bill of Lading. It is important that these documents cover all units listed on the invoices you intend to file.

8) Import and Export Documentation. In most cases, this documentation is retained by the freight forwarder/shipper. You need to contact the freight forwarder and request the documentation that they processed for the transportation of your products. This documentation may include: Customs declaration, Packing List, Customs declaration power of attorney, Declaration Elements or Cargo Manifest.
